ASSOCIATION MEETING MINUTES

January 9, 2008 BMX Executive Meeting @ Tieulie’s house

1.) Meeting was called to order @ 7:04pm with Kelvin, Shannon, Darcy, Eva, Kristen, Ivan, Leah and Carmen in attendance. Missing: Dena, Tiffany

2.) The last meeting minutes were reviewed and accepted.

3.) Treasurers report: Approximately $9,500 - $10,000 in the club account (per Shannon in Tiffany’s absence).

4.) Executive Reports:

President’s report: Shannon advised the 2008 Provincial calendar is posted. She will pay our 2008 affiliation fees tomorrow. She has waiver and license forms available tonight if you need them signed. The 2007 AB plates still not have been mailed. The casino application is done and she will advise when she hears back on it. We are to ignore the bill for the building permit with regards to the blocks on the start hill.

Vice Presidents report: Kelvin has sent letters to the Provincial Government for funding and he has given a copy of the letter for corporate sponsorship to Eva for her records. Reminder to Kelvin to give Eva a key to forward to Donna Smith @ Town of Stony Plain office for the BMX locked gates.

Coaches report: Darcy plans to talk with Jason Bots from United Cycle regarding sponsorship and/or $ for a new gate or gate improvements.

Fundraising report: Eva advised the cookie dough fundraiser will be a go and will advise of dates/details shortly. IGA fundraiser is still going strong. She will apply for the raffle and the tickets will be ready for our registration dates.

Track Operators report: Kristen advised dates for registration have been set for March 1st and March 15th @ the TLC from 10am – 3pm and Leah, Tiffany, Dena and Kristen will cover working the registration. Eva will supply the 2007 Year End DVD and have it play continually @ both registration dates. Number plates are not ready yet to sell @ registration.

Webmaster/Secretary report: Carmen e-mailed Preston (web guy) to add a spot under links for meeting minutes and will advise once the web is updated. Eva to e-mail Carmen a copy of the Stony Plain logo with the website address on it for her records. Carmen to contact a list of names (6- 10 people) from our club to take the Commissaire course in Edmonton on March 29th. Each club requires a minimum of 3 Commissaires and currently our club has Jim White, Kristen Kawa and Carmen Steinke. Carmen to update the web with info. regarding registration for 2008. Our schedule for 2008 will remain the same as it was in 2007 with racing on Mondays and Thursdays and practice on Wednesdays.

5c.) Agenda for Provincial meeting:

Shannon made a tentative list of duties per each executive member and their position. This list is to be brought to our 1st Provincial Planning Meeting and will be discussed in detail. The meeting is scheduled for January 29th @ 7pm @ the Steinke’s house.

5d.) Other Business: The Town of Stony Plain is having a homecoming event during July 17th – 20th. Shannon will update further and advise at our next meeting.
