ASSOCIATION MEETING MINUTES
May 20, 2008 Provincial Meeting @ TrackMeeting called to order @ 6:41pm with Karen, Kelvin, Shannon, Dena, Leah, Eva, Carmen, Ivan, Kristen, Tonya in attendance. Missing: nobody. Treasurer Report: Karen advised the bank balance is $29,479.20. Profit from the Silent Auction @ Mike’s Bar on May 10th was $8,087. Net profit is $17,771.99. We still owe $800 for dirt, $1,200 for porta-potties, and refund for Klassen & Remple families. Vice President Report: Kelvin advised that DeFord Paving will be at the track next week on Tuesday and Wednesday; therefore, the track will be closed for those 2 days and we will race on Monday and Thursday next week. President Report: Shannon said that we need to purchase a weed sprayer tomorrow. The Town of Stony Plain is supposed to look after the weeds but we have not gotten an answer back from them so far. It was asked if the Town of Stony Plain can supply mulch to use on the ground around the bleachers rather than us planting grass. Ivan to call “Davies” for a price on mulch. Our sound system is not working well. Shannon to call the geek squad to come out. They charge $50/hour to look at the system and advise updates required. Shannon will book this and reply back to the club. The Town of Stony Plain will supply curb ramps for parking in the vacant field across the street. The Town of Stony Plain has 15 tables for us to use. Assistant Track Operator Report: Kristen to call Christine Quesnell about announcing at our Provincial. Concession Report: Dena has looked into renting a 6 foot x 2 foot grill & griddle with 4 propane bottles. Cost is $549.50 from Thursday until Monday. $274 was paid as a deposit by Mike & Dena Allen. Tonya advised that Victor would like to be in charge of parking and will get some volunteers to help. Enterprise will donate a van for the Provincial weekend and Victor is the insured driver!! Track Operator Report: Leah reported that we have plaques on order for the stickies. The cost is still $2 each and this year they are black MDF rather than wooden. Carmen to add All Wood Solutions to the website under sponsors. Fundraising Report: Eva advised the BMX binder will be back to the moto shed this week. Eva needs to hand out 7-8 raffle booklets. Eva is working on a news letter next week for parents and hopes to have it ready by next Thursday. E-mail Eva any/all info. you want included in the newsletter. Eva still needs 5 people for this Friday’s Bingo. Webmaster/Secretary Report: Carmen received an e-mail from a new parent; Michel Cote offering help with web content, web design, hosting, etc. He asked to exchange his 10 volunteer hours for this work and the executive agreed. Track Maintenance Report: Ivan advised the start hill will be paved down to the 2nd or 3rd fence post on the chain link fence. A small kicker will be added after the paving is done right at the bottom of the start hill. The step-up after the 1st corner will be a big table. Something ?? will be added going into the 2nd corner (they are not sure what yet). The last jump at the finish line will be bigger by half its size now. The first corner needs to be higher.
