ASSOCIATION MEETING MINUTES
June 19, 2008 “Provincial Planning” meeting @ BMX TrackMeeting called to order @ 8:31pm with the following people in attendance: Ivan, Hitesh, Kelvin, Carmen, Kristen, Dena, Tonya, Leah, Shannon. Missing: Eva Shannon’s report: the club voted on the purchase of a new microphone/headset system for aprox. $650. 9 votes yes. 0 votes no. The area by the bleachers is 5,500 sq.ft and the cost to sod would be $2,000. Gravel and mulch are more expensive. For now, we agreed to keep moving the bleachers to get the existing grass/weeds growing and we will cut whatever grows before the provincial. Leah has 7 bags of wood chips she uses in horse stalls to soak up moisture. She will donate it for the Provincial weekend. 1 bag covers a 10x12 horse stall and is a few inches deep. If we need more than what she has, we can purchase more @ UFA for $2.95/bag. Leah also has rebar to donate. We need to purchase snow fence and rope. Shannon and Kelvin each have a propane cooker for the chilli supper Friday night. Kelvin will have the concession camp shack delivered on the Monday of Provincial week. The Town of Stony Plain will deliver bleachers, garbage cans; re-cycle cans, etc. on the Monday of Provincial week. 10 porta-potties will be delivered on the Thursday evening of Provincial week. Shannon will talk to the Town staff to see if we can have the authority to lock the BMX gates the week of the Provincial so we do not get anyone causing vandalism, theft, etc. of all the items arriving that week. The gates would be open during the day and during racing and practice…just locked after hours and overnight. The song “Bicycle” by Queen was recommended to be used as a start up theme song during the Provincial. Ivan/Hitesh report: the track is ready as far as obstacles, etc. Nothing new will be added before the Provincial. Grooming will take place from here on in until the Provincial. We need to have clay/sand mixture on hand ASAP for use before and during the Provincial race. Hitesh has “floor dry” in bags at work that he will donate for use on the track to soak up moisture if there is rain on the Provincial weekend. June 21st and 22nd from 9am – 4pm is a Work Bee at the track. Kristen’s report: the volunteer sign up sheets for the 3 day Provincial weekend look good. Most spots are filled. Carmen’s report: Reviewed some items in the 2008 copy of the ABA BMX rulebook. The finish line needs to be painted. According to the rulebook, it should be 24cm of white with a 4cm strip of black in the middle. We were undecided if the finish line needed 3 or 4 lines/rows. Carmen to contact Ron Nichol @ ABA for a list of names regarding who is working at the Provincial race on Sunday. Meeting was adjourned @ 9:09pm |
