ASSOCIATION MEETING MINUTES

Stony Plain BMX Association Annual General Meeting
October 8, 2008 @ 7pm @ Broxton Park School

1.) Meeting called to order @ 7:05pm with the following people in attendance: Debra Hagel, Kristen Kawa, Laurie Haggart, Karen Bellamy, Leah Schilling, Dena & Mike Allen, Rick Freund, Tonya Galligan, Shelley Satermo, Carmen & Kelvin Steinke, Murray & Jann McCann, Hitesh Kawa, Ivan Sproxton, Ross Titcomb, Jyra Freund, Shannon Sproxton, Eva & TJ Beyer, Carey Antosko, Tabitha Stefanik, Corrie Erdman, George Schwanke, Sheila & Daryl Burgess, Susan Miller.

2.) Reviewed & accepted previous 2007 AGM minutes. Kelvin Steinke made a motion to accept them and George Schwanke 2nd the motion. All in favour were 16 + the entire Executive committee. 0 were against. A copy will be scanned and posted on the website.

3.) Treasurer’s Report given by Karen Bellamy shows a balance of $25,587.16 in the club’s account. The club made a profit this year of $13,879.95 and we are waiting for a corporate donation of $3,000 from Enoch First Nation (Kelvin will deliver to Karen). The statement shows -$1,500 and so it will show +$1,500 once that cheque is received. Payment for the sod laid @ the track on the bleacher side is still outstanding, as well as a small cheque (aprox. $25 for domain hosting). Deb Hagel made a motion to accept the financial statement & Jann McCann 2nd the motion. All were in favour and 0 were against. Thus, the motion was carried.

4.) Bylaw Vote – Dissolution clause: we have been accepted for a Casino. No date has been set yet. If Stony Plain BMX Club dissolves, any assets/money left over from the Casino’s profit goes to a religious cause or charity. Tonight, we need to pass this motion. Kristen Kawa made a motion to pass and Kelvin Steinke 2nd the motion. All in favour were everyone present and 0 were against. Eva Beyer, who is a Commissioner of Oaths, needs to sign and stamp this motion.

5.) Elections: 3 rounds of elections took place and the following are the results of the new 2008-2009 Stony Plain BMX Executive Committee…
President – Shannon Sproxton stepped down and Debra Hagel was voted in
Vice President – Kelvin Steinke stepped down and Kristen Kawa was voted in
Secretary – Carmen Steinke stepped down and Laurie Haggart was voted in
Treasurer – Karen Bellamy will let her name stand
Track Operator – Leah Schilling will let her name stand
Asst. Track Operator – Kristen Kawa stepped down and Dena Allen was voted in
Head Track Official – Carmen Steinke stepped down and Rick Freund was voted in
Director of Concession – Tonya Galligan let her name stand
Director of Fundraising – Eva Beyer stepped down, Shelley Satermo was voted in
Webmaster – Carmen Steinke let her name stand
Coach – Kelvin Steinke was voted in (Darcy Tieulie moved away in May, 2008)
Track Maintenance – Ivan Sproxton & Hitesh Kawa let their names stand, as well, Murray McCann & Ross Titcomb were voted in
Rider Rep – Daryl Schilling stepped down, Jyra Freund was voted in

6.) Reviewed the 2008 Parent Survey that was created by Eva Beyer. Shannon Sproxton read the results aloud. A copy will be scanned and posted on the website.

7.) Questions/Comments: Laurie Haggart asked for an explanation as to how the club determines who has volunteered enough time to avoid the $50 post-dated volunteer cheques from being cashed. Rick Freund expressed his thoughts on how he liked how the kids got involved in raising funds for the club through the “Clean Up Spruce Grove” fundraiser. George Schwanke thanked the 2007-2008 Executive for their efforts and for doing a good job hosting the July 2008 Provincial race.

8.) Meeting was adjourned @ 8:15pm. Next executive meeting is on November 25th @ 7:30pm @ the Kawas home.
